[Ops · #463] Internal desk track + matching backboard #448
Description
V1 soon — admin companion to #445
Surface desk track / Guide-sent / L1 drop-offs on admin + matching backboard so staff don’t open the Master Sheet mid-match. Not in the urgent density trio (#449/#451/#454). No public chrome. Auto-levels stay parked #446.
CEO lock — 2026-10-24
- Internal only.
tutor_level/ desk track never appears on public tutor cards, parent intake, or parent WA. - No weekly coaching drips. Guidance = existing Tutor Service Guide + initial macros (
/tfirst,/tutor,/confirm,/done1). - No new gamification product beyond current verified lesson hours + rating systems. Desk track is a CS soft-prefer aid, not an XP game.
- Pairs with short-term #445. Auto-levels stay parked #446.
Problem
Desk track lives in the sheet; mid-match agents miss New/Guide/drop-off signals and assign poorly.
V1 scope
Tutor admin + internal shortlist chips for level / guide_sent / l1_early_dropoffs; soft sort/filter; link to Guide.
Out of scope
Public level badge · Living CV · quest UI · weekly in-app nag · replacing verified hours/ratings
Summary
Surface internal tutor desk track + Guide-sent + L1 drop-off count on the website admin / matching backboard so staff see them in shortlists without opening the Master Sheet. No parent-facing chrome.
Requirements
1. Tutor admin profile
- Show
tutor_level(New | Active | Experienced) editable by admin. - Show
guide_sent(bool / timestamp) — set when/tfirst(or equivalent) was sent. - Show
l1_early_dropoffsinteger; at ≥2 surface link/note to setrisk_flag=REVIEW(#441). - Link out to Tutor Service Guide (staff + optional “copy Guide URL” for WA).
2. Internal matchmaking shortlist / case backboard
- Tag each tutor row with desk track (e.g. chip) admin-only.
- Soft sort/filter: prefer New for foundation / junior / short-case / Pro-Bono; soft-deprioritise New on S6 final / IBDP Y2 (staff override always).
- Never expose track chip on any public or parent-preview surface.
3. Non-goals
- No public level badge / Living CV / quest UI.
- No weekly in-app nag or push drip.
- No replacement of verified hours or ratings — those remain the trust/progression signal.
Acceptance Criteria
- Admin can set and see desk track on tutor profile.
- Internal shortlist shows track; public cards do not.
- Guide link available from admin; Guide-sent flag writable.
- L1 drop-off ≥2 is visible for Double-Lock REVIEW path.

CEO 2026-10-27: marked urgent — V1 must-build for the closed loop (lead → fast match → fee → hours). Not a scope expand beyond this issue’s existing V1 slice; parked V2/community/marketplace work stays On Hold.

Shipped on main in 1c67cc2 (merge of 36198bf), together with #445 (same table, same slice).
1. Tutor admin profile — new Desk Track section in TutorEditor:
tutor_level(New | Active | Experienced) editable by any staff, with the CS-005 desk hints per level.guide_sent— timestamp + actor stamp written throughsetDeskTrack; "Open Guide" and "Copy link" buttons for the Tutor Service Guide.l1_early_dropoffs— staff counter with +/− controls (floored at 0) and a staff note; at ≥2 an inline alert appears with a one-click "Set REVIEW flag" that writes the [Ops / Security] Double-Lock Risk Flags on Cases & Tutors (V1 Manual) #441 risk flag.2. Internal shortlist / backboard — every suggested-tutor row on the case detail (admin matchmaking backboard) now shows desk-track chips: level, "Guide sent", "L1 drop-offs: n" (warning tone at ≥2). Chips come from the staff-gated
getDeskTracksserver fn — not from the RPC, so case owners (parents) callingmatch_tutors_for_caseget identical output to before and never see desk data.match_tutors_for_case: prefer New on foundation / junior secondary / short-case / Pro-Bono desks (+20), soft-deprioritise New on S6/Y12–Y13/IBDP-Y2 finals desks (−20). Staff override always (soft score, no filter). Live-tested on prod.3. Non-goals held — no public badge (table has zero grants to anon/authenticated, RLS on, verified on prod), no Living CV/quest UI, no drips, verified hours/ratings untouched.
Storage posture:
tutor_desk_trackis service-role only (the #441risk_flagsposture) — the Master Sheet W–Y columns now live in-app without ever touching a public surface. tsc/eslint/check:i18n/build green; migration20261101010000applied to prod and ledgered.
